Selling VoIP systems or contact center software has a timing problem. Most businesses only switch platforms every few years, usually when a contract is ending, a system is being retired, or the current setup is clearly holding them back. Reach out a month too late and they’ve already signed with someone else. Reach out a year too early and nobody cares.
That’s why intent data has become so useful in this market. It helps you spot companies that are actively researching or showing signs of change, so your outreach lands when it’s actually relevant. Here’s how our team thinks about using intent data for VoIP, UCaaS and contact center sales.
What intent data is
Intent data is information that suggests a company is interested in a topic or ready to make a purchase. It comes in a few broad types:
- First-party intent is behavior on your own channels, like visits to your pricing page, demo requests, webinar attendance or repeated email clicks.
- Third-party intent comes from data providers that track research activity across a network of business websites and content, then report which companies are showing unusual interest in a topic.
- Public signals are things anyone can observe, such as job posts, press releases, technology changes and vendor announcements.
None of these are perfect on their own. Combined, they give you a much better sense of who to call this week.
Signals that matter in VoIP and contact center sales
Some signals are especially strong in this space:
- Job posts for contact center managers, workforce management analysts or telecom administrators.
- A company opening a new support location or expanding customer service hours.
- Mentions of moving support to the cloud or consolidating communication tools.
- Research spikes around topics like “cloud contact center,” “call center software” or specific CRM integrations.
- Platform changes in their ecosystem. For example, Salesforce has announced it will retire Open CTI, which means many contact centers using telephony integrations built on it will need to plan a migration.
That last type of signal is particularly valuable. When a platform a company depends on is being retired or changed, they have a real deadline and a real reason to evaluate options.
Step 1: Define your target accounts
Intent data works best on top of a clear target profile. Decide which companies you serve best. A contact center platform might focus on US companies with 50 to 500 agents in industries like healthcare, financial services or retail. A VoIP provider might focus on multi-location small and mid-sized businesses.
Filter intent signals through that profile. A research spike from a company that’s far too small or in the wrong region isn’t worth chasing.
Step 2: Combine signals into priorities
Look for overlap. A company that matches your profile, has third-party intent around contact center software and just posted a job for a contact center operations manager is a much stronger lead than one with a single signal.
A simple approach is to sort accounts into three groups:
- Act now: strong fit plus multiple signals. Personal outreach this week.
- Nurture: good fit plus one signal. Targeted email and content.
- Watch: good fit, no current signals. Monitor for changes.
Step 3: Make outreach about their situation
Intent data should shape what you say, not just who you contact. Be careful, though. Prospects can feel uncomfortable if you hint that you’ve been watching their online research. Focus on the visible business context instead.
For example: “I saw you’re hiring a contact center manager for your new Phoenix location. When teams expand like that, phone routing and CRM integration often become a headache. We help support teams set that up cleanly. Would it help to compare notes?”
That message is relevant, respectful and easy to answer.
Step 4: Offer a useful first step
Contact center buyers often want to understand their options before talking to sales. Helpful first steps include:
- A migration checklist for teams moving off an older system.
- A short assessment of their current call flows and integrations.
- A demo focused on one specific problem, like routing calls to the right agent or showing customer history on screen.
When they’re ready, make booking easy, ideally with a calendar that shows time slots in their own time zone.
Step 5: Track results and refine
Over time, see which signals actually led to meetings and deals. You may find that job posts are a stronger predictor than research spikes for your market, or that certain industries respond better. Adjust your priorities accordingly.
A word on data quality and privacy
Use reputable data providers, understand where their data comes from and follow applicable privacy laws and email rules, such as including a clear opt-out in commercial emails. Intent data is a guide for timing, not a reason to bombard anyone.
Wrapping up
In VoIP and contact center sales, reaching the right company at the right time can matter as much as having the right product. Intent data, used thoughtfully, helps you do exactly that.
